Private security is sold on trust and supervised by telephone. A company signs a contract, places guards at a site, and then supervises them remotely — a call, an occasional surprise visit, a WhatsApp group. The client organization paying for the service has even less to go on. They see a guard at the gate and take the rest on faith.
That gap is where the trouble starts. Patrols that may or may not have happened. A broken gate barrier reported verbally at 2am and forgotten by morning. An incident that the board hears about from a resident before it hears about it from the security company. None of it is recorded in a way anyone can check, so when the contract comes up for renewal there is nothing to point at except opinion.
ÖGOY closes that gap by making one record that both sides read. The guard works from their own phone. A patrol counts when the phone scans the printed QR code at the checkpoint and the location matches. An incident, a fault, or a panic alert lands with the operations manager and the client's facility manager at the same moment. The site's incident register and its official reports print from the same records that created the alert, so the paperwork and the reality cannot drift apart.
Twenty modules cover the working day: patrol, shift hours, faults, incidents, reports, rosters, assets, supplies, discipline, messaging, the client's own view, and the administration behind all of it. They are described one by one further down.
Every security company we have described this to recognizes the same picture.
An operations manager is responsible for many sites at once, across two shifts. Verification is a phone call — and a phone call only proves that somebody answered a phone. A surprise visit proves something real, but only for the ten minutes the manager is standing there, and it costs a drive across the city. So the honest guard and the guard asleep in the cabin look identical on paper, and the company finds out which is which when a client complains.
The board or the facility manager has no way to check whether the night rounds were walked. When they ask, they get an assurance rather than a record. Small things pile up — a light out for three weeks, a fire door propped open, the same guard arriving late — and every one of those is a piece of evidence in the argument that the service is not worth the money.
Guards are the only people who walk the whole site every night. They see the leak, the dead camera, the car parked across the fire lane. Today they mention it to whoever is nearby, and it survives or dies depending on who was listening. A fault that was seen and not fixed is worse than one nobody noticed, because the site was told and did nothing — and by the time it becomes expensive, no one can prove it was ever raised.
Paper incident registers stay in a drawer at the gate. Photographs live on somebody's phone. When there is an insurance claim, a court file, or a hard conversation with the client, the company assembles the story from memory. Contracts get short and renewals get tense — not because the guarding was bad, but because nobody can show that it was good.
ÖGOY is an operations system with three front ends and one shared set of records.
A printed code at each checkpoint, scanned by the guard's phone, with the phone's location required to match the checkpoint's. Both have to pass. A photograph of the code, scanned from the guard cabin, does not count. If a round is not started within the site's grace period — fifteen minutes by default, set per site, because a factory perimeter and a twelve-flat apartment block are not the same walk — the supervisor is alerted and a notification goes to the guard's phone at the same time. The supervisor calls to find out whether it is a flat battery, a phone left in a coat, or something that needs a person sent.
When a guard reports an incident, that creates a single event record with its time, place, author, and photographs. The site's incident register (vukuat defteri) is that same set of records rendered in chronological order and printed. An official report (tutanak) is a separate formal document that refers to one or more of those events and prints with its own wording for signature. The register can never disagree with the alert that was sent, because it is the same record seen from a different angle.
Most operational software serves one company. ÖGOY serves two organizations that have a contract with each other, and that is the whole design.
When a guard raises an incident, it does not go into the security company's system and then get summarized for the client later. It reaches both at once, at the level of detail each is entitled to. When a fault is logged, it stays open in front of both parties until somebody closes it, and it carries over to the next shift — the guard coming on duty is shown the faults that are still open and confirms whether each one has been dealt with. Nothing quietly disappears at handover.
This changes the commercial relationship in three ways.
Authority is set per site, not by job title. A contract may give a facility manager full authority — they receive reports and may issue instructions and complaints — or restricted authority, meaning they read that site's reports and nothing else. It is configured against the site, alongside the contract it comes from, because no two contracts are written the same way.
We are not going to quote a percentage saving at you. ÖGOY has no live customers yet, and any number we invented would be worth exactly nothing in your board meeting. What we can do is show you which lines to add up, using your own figures.

In most security companies, the first row is larger than all the others combined. A contract that renews for a third year instead of being retendered is usually worth more than every efficiency in the list. That is the number ÖGOY is aimed at.
These are numbered as they appear in the project analysis. The order is not a priority or a dependency order. Each one says what it does and why anyone should care.
Checkpoints and round schedules are defined per site. The guard scans the printed QR at each point and the phone's location has to match. The day or night supervisor watches rounds arrive in real time, and is alerted — along with the guard — when a round is overdue past the site's grace period.
Why it matters: this is the single control that turns "we patrol hourly" from a promise into something you can print.
Guards clock in and out from the app at the site, verified the same way. The company is alerted to gaps and overlaps at handover — a post left empty for forty minutes, or two guards billed for the same hour.
Why it matters: handover gaps are the moments sites actually get robbed, and the hours you bill become defensible.
During rounds the guard logs equipment, building, and vehicle faults from the phone, with photographs — a dead lamp, a leaking pipe, a camera that has gone dark, a car blocking the fire lane. Open faults stay visible to both the security company and the client until they are closed, and are re-checked on the next shift.
Why it matters: the module clients end up valuing most, because it saves them money on things that have nothing to do with crime.
Sudden events — theft, disturbance, a fight, damage — reported in the moment with time, place, and photographs, or an in-app panic action when there is no time to type. Both the security company and the client organization are notified immediately. This is the module that creates the event records everything else builds on.
Why it matters: the client hearing it from you first, with the facts attached, instead of from a resident an hour later.
Guards request what they are short of — baton, handcuffs, coat, cap — and report the condition of the post itself, whether it is unheated, filthy, or unlit. The company reviews and fulfils in the back office.
Why it matters: a guard standing in the cold in the wrong coat is a resignation waiting to happen, and replacing them costs more than the coat.
Equipment issued to a guard at the start of duty and acknowledged on their phone, plus the assets the client hands over to the security company — keys, radios, a vehicle, an office.
Why it matters: when someone leaves, you know exactly what leaves with them, and the client's key handover is on the record too.
The chronological register of one site's events, printable. It is a view over the records from module 5, not a second place where things get typed in again.
Why it matters: the register and the alerts can never contradict each other, because there is only one set of entries.
Formal documents drawn up about one or more events, in proper register wording, exported as printable PDF for signature and shared with the client. A separate record from the event itself, because not every report follows an alert and not every alert deserves a report.
Why it matters: this is what you hand to an insurer, a lawyer, or an inspector, and it is assembled from records made at the time rather than written from memory afterwards.
The live board for the supervisor on duty: every site at once, patrols in progress, overdue rounds, open incidents, empty posts. Instructions go out from here, whether that is rapid response or a preventive measure before a shift starts.
Why it matters: one manager can genuinely hold twenty sites when the exceptions come to them instead of being hunted for.
The owner's view across the whole company — every site, every guard, every issued asset, every incident record. The alerts that reach operations reach here too.
Why it matters: you find out which contract is going wrong while there is still time to fix it, rather than at the renewal meeting.
Next month's roster drawn up by the operations manager in the back office. Guards see their own shifts on mobile; the client, the owner, and the operations managers see the full roster for their sites.
Why it matters: "I didn't know I was on tonight" stops being available as an excuse, and the client can see the cover they are paying for.
Guard records with photographs from hiring to termination. Guards see their own attendance, pay, and leave on mobile. The company sees assignment history, previous sites, and previous supervisors in the back office.
Why it matters: when a client asks who is standing at their gate, you answer with a file rather than a phone call to a supervisor.
Disciplinary warnings recorded against the pattern that caused them — a third late arrival triggering mandatory discipline training, for example — and rewards such as guard of the month, shown to all guards on mobile.
Why it matters: discipline based on a record rather than a supervisor's mood is both fairer and far easier to defend if it is ever challenged.
Logged messaging between guards and the company, and between the company and the client's facility manager or board.
Why it matters: the instruction is attached to the site and the shift it concerns, and it is still there in six months. A WhatsApp group is neither.
The client's facility manager or management board sees who is on duty right now at the sites named in their contract, and sends complaints or commendations that land with the company as records rather than as a phone call — the guard found asleep, the post left short, the uniform worn badly, and equally the guard who handled something well.
Why it matters: a client with a channel complains to you. A client without one complains at renewal.
Governs the case where the client has delegated its management authority to a management company by contract, so the delegated party's people get the access the delegation actually gave them.
Why it matters: this arrangement is now the norm for estates, and getting the authority wrong means either an information leak or a manager who cannot do their job.
Before service starts, the survey of the site is captured on the app: security gaps, blind spots, missing or broken equipment, with photographs. Both parties agree to it, and it becomes the baseline the engagement starts from.
Why it matters: it settles in advance what was already broken on day one — the single most useful document you can have when something goes wrong in month four.
Defines the client site with photographs and site plans, and lists the security and non-security staff present. It also owns the patrol checkpoints and their QR codes, the site's patrol grace period, and which client users hold which authority level.
Why it matters: this is where a contract becomes configuration. Set it up properly once and every other module behaves the way that contract says it should.
Provisioning security companies and their clients, user and role administration, licensing, and audit across tenants.
Why it matters: your data is separated from every other company's at the foundation, not by a filter someone remembered to apply.
Drafting price quotes and cost worksheets for prospective clients. Scheduled after the first release. It is sales tooling rather than operations, nothing else depends on it, and it can be added later without rework.
Why it matters: we would rather say plainly what is not in the first version than let you discover it during a demo.

Client users work on a desktop, not a phone, because that is where facility managers and board members actually sit. Urgent things still reach them instantly by push notification and email, so no client needs to install anything to stay informed.
No card readers, no NFC checkpoint tags, no patrol wands, no physical panic buttons. Everything a guard does happens on the phone already in their pocket. The only physical items are printed QR codes at the checkpoints, which cost a laminating pouch and can be reprinted by anyone in the office when one is damaged.
The trade-off, stated openly: this needs guards to carry a working smartphone with data and location enabled, and you have to decide how you handle a guard who does not have one. In exchange there is no capital outlay, no procurement cycle, no device to be lost or broken at three in the morning, and no vendor holding you hostage over replacement readers.
Client users share the back office with organization-scoped authorization instead of getting their own separate product. A fourth front end would have duplicated seven modules to serve a different audience doing the same kind of work. One application with proper scoping is smaller to build, cheaper to run, and — because there is one place where permissions are decided — safer.
Authority is attached to a site, never hardcoded to a job title, because contracts genuinely differ. One client's facility manager issues instructions; another's is entitled to read reports and nothing more. Both are normal, and both are configuration rather than a special case.
The realistic shape of a first deployment, one site at a time.
After the first site, each additional one is mostly the week-one setup again. Companies with many similar sites go considerably faster.
Two structures are on the table, and we would rather agree the right one with our first partners than announce a price list we have not tested.
Support, updates, and what counts as custom development will be written into the agreement in plain figures. Vague after-sales terms are one of the most common reasons software relationships turn bad, and it is an easy thing to get right at the start.
Pricing is being set with the first group of partners. If that is a problem for your process, say so early and we will work to a fixed quote instead.
ÖGOY is in development. We are looking for a small number of security companies to build it with, and the exchange is straightforward.
"Guards will just fake the GPS or leave the phone somewhere."
The control is a printed code that physically lives at the checkpoint, plus a location that has to match it. That defeats the common workarounds — photographing the codes and scanning them from the cabin, or claiming a round that never started. It does not defeat a determined guard with a rooted phone and a mock-location app, and we are not going to pretend otherwise. What it does is remove the easy, casual version of the problem, which is nearly all of it, and leave a pattern in the data when someone is working at the hard version.
"My guards can't use software like this."
They all use a phone already. What a guard has to do is scan a code, tap a button, and take a photograph. The people who need real training are the supervisors, because their job changes from chasing information to responding to it. Budget your training time there.
"We already have a WhatsApp group."
A WhatsApp group is a good alarm and a terrible record. It does not attach anything to a site, does not prove a patrol happened, does not survive a phone being replaced, and cannot be handed to an insurer. Keep it if you like — it stops carrying the weight of your operation.
"Why would I show my client everything? They will use it against me."
They see what the contract gives them, and that is configured per site. In practice, the companies with something to fear from transparency are the ones already losing contracts. If your guards patrol and your faults get closed, a client who can see that is a client who stops shopping around. And the fault log alone tends to make you look useful in a way guarding never does on its own.
"Some of our posts have no signal."
Scans and reports are captured on the phone and sent when the connection returns, with the original time preserved. Live supervision is only as live as the network, which is a fact about the site rather than the software — but the record does not get lost, and the delay is visible instead of silent.
"What about Law 5188 and data protection?"
The system is built around Law 5188 roles and produces the printed outputs the work requires. On personal data: you are the employer, so you remain the data controller for your guards' records, and you will need to inform them about location and working-time processing the way you would for any tracking. We will provide the technical side — access records, retention settings, export — and the documentation to support it. We will not give you legal advice about your own obligations, and you should not accept it from a software vendor.
"What happens to our data if you go under?"
Full export of your records in a readable format, on demand, written into the contract rather than promised in a meeting. It is a fair question to ask a company at this stage, and the answer should be in writing before you sign anything.
"Can I see it working before I commit?"
Ask, and we will tell you honestly what is running today and what is still being built. Anything we show you will be the real thing. If a module is not ready, we will say so rather than demonstrate a picture of it.
Some of this document would normally be a customer logo wall and a set of percentages. We do not have those yet, and it is better to say so.

Her kontrol noktasında basılı bir kod, personelin telefonuyla okutuluyor ve telefonun konumunun kontrol noktasının konumuyla eşleşmesi gerekiyor. İkisinin de tutması şart. Kodun fotoğrafını çekip kulübeden okutmak geçerli sayılmıyor. Tur, tesise özel tanımlanmış süre içinde başlamazsa — varsayılan on beş dakika, ama tesis bazında ayarlanır, çünkü fabrika çevre turu ile on iki daireli apartman aynı yürüyüş değildir — amire uyarı gider, aynı anda personelin telefonuna da bildirim düşer. Personel bir olay bildirdiğinde tek bir olay kaydı oluşur: saati, yeri, kaydı gireni ve fotoğraflarıyla. Tesisin vukuat defteri, aynı kayıtların kronolojik sırayla gösterilmiş ve yazdırılabilir halidir. Tutanak ise bir veya birden fazla olaya atıf yapan, kendi resmî metniyle imzaya çıkan ayrı bir belgedir. Defterin gönderilen uyarıyla çelişmesi mümkün değildir, çünkü ikisi de aynı kaydın farklı görünümüdür.
Operasyon yazılımlarının çoğu tek bir şirkete hizmet eder. ÖGOY, aralarında sözleşme bulunan iki kuruluşa birden hizmet eder; tasarımın tamamı bunun üzerine kuruludur.
Personel bir olay bildirdiğinde bu önce güvenlik şirketinin sistemine düşüp sonra müşteriye özetlenmez. Her iki tarafa aynı anda, her birinin yetkisi kadar ayrıntıyla ulaşır. Bir arıza kaydedildiğinde, biri kapatana kadar iki tarafın da önünde açık kalır ve vardiya değişse de devam eder: göreve gelen personele hâlâ açık olan arızalar gösterilir ve her biri için giderilip giderilmediğini teyit eder. Yetki, unvana göre değil tesise göre tanımlanır. Sözleşme bir tesis müdürüne tam yetki verebilir — rapor alır, talimat ve şikâyet iletebilir — ya da kısıtlı yetki verir; o zaman yalnızca o tesisin raporlarını okur, başka bir şey yapamaz. Bu ayar tesisin altında, dayandığı sözleşmenin yanında durur, çünkü hiçbir sözleşme diğeriyle aynı yazılmıyor.

Personel tur sırasında makine, bina ve araç arızalarını telefondan fotoğraflı olarak kaydeder: yanmayan lamba, kaçıran boru, kararmış kamera, yangın yolunu kapatan araç. Açık arızalar kapatılana kadar hem güvenlik şirketinin hem müşterinin önünde durur ve bir sonraki vardiyada yeniden kontrol edilir.
Neden önemli: müşterinin en çok değer verdiği modül genelde bu oluyor, çünkü suçla hiç ilgisi olmayan yerlerde para kazandırıyor.

Kontrol, fiziksel olarak kontrol noktasında duran basılı bir kod ve onunla eşleşmesi gereken bir konumdan oluşuyor. Bu, yaygın kaçamakları kapatıyor: kodların fotoğrafını çekip kulübeden okutmak ya da hiç başlamamış bir turu beyan etmek. "Zaten WhatsApp grubumuz var."
WhatsApp grubu iyi bir alarm, kötü bir kayıttır. Hiçbir şeyi tesise bağlamaz, devriyenin atıldığını kanıtlamaz, telefon değişince kaybolur ve sigortacıya verilemez. İsterseniz kalsın — sadece operasyonunuzun yükünü taşımaktan kurtulur.
"Müşteriye neden her şeyi göstereyim? Bunu bana karşı kullanır."
Müşteri sözleşmenin verdiği kadarını görür ve bu tesis bazında ayarlanır. Pratikte şeffaflıktan korkacak şirketler, zaten sözleşme kaybeden şirketler. Personeliniz devriyesini atıyor ve arızalarınız kapanıyorsa, bunu görebilen müşteri başka yere bakmayı bırakır. Üstelik arıza kaydı tek başına sizi, güvenliğin kendi başına asla sağlayamadığı bir biçimde faydalı gösteriyor.
"Bazı noktalarımızda çekmiyor."
Okutmalar ve bildirimler telefonda tutulur, bağlantı geldiğinde özgün saatiyle birlikte gönderilir. Canlı takip ancak şebeke kadar canlıdır; bu yazılımın değil tesisin gerçeği. Ama kayıt kaybolmaz ve gecikme sessiz kalmaz, görünür olur.
"5188 ve kişisel veriler açısından durum ne?"
Sistem 5188 sayılı kanundaki roller üzerine kuruldu ve işin gerektirdiği basılı çıktıları üretiyor. Kişisel veri tarafında: işveren sizsiniz, dolayısıyla personel kayıtları için veri sorumlusu sizsiniz ve konum ile çalışma süresi işlemesi konusunda personeli, herhangi bir takip uygulamasında olduğu gibi aydınlatmanız gerekir. Teknik tarafı biz sağlarız — erişim kayıtları, saklama süresi ayarları, dışa aktarma — ve bunu destekleyen dokümantasyonu veririz. Kendi yükümlülükleriniz hakkında hukuki görüş vermeyiz; bir yazılım firmasından da almamalısınız.
"Siz kapanırsanız verilerimize ne olur?"
Kayıtlarınızın tamamı, talep ettiğinizde okunabilir bir formatta dışa aktarılır. Bu toplantıda söz olarak değil sözleşmede madde olarak durur. Bu aşamadaki bir şirkete sorulması gereken haklı bir soru ve cevabı imzadan önce yazılı olmalı.
"Karar vermeden çalışırken görebilir miyim?"
Sorun, bugün neyin çalıştığını ve neyin hâlâ yapıldığını olduğu gibi söyleyelim. Size gösterdiğimiz her şey gerçek olacak. Bir modül hazır değilse, resmini göstermek yerine hazır olmadığını söyleriz.
Böyle bir dokümanda normalde bir müşteri logosu duvarı ve bir dizi yüzde olurdu. Bizde henüz yok ve bunu söylemek daha doğru.
